Why this matters in South Africa
South African e-commerce stores face a unique problem: global platforms don't natively support local payment methods like EFT, SnapScan, or Ozow. This disconnect leads to cart abandonment rates 40% higher than the global average.
Compliance note: Online retailers must comply with the Consumer Protection Act (CPA) and the Electronic Communications and Transactions Act (ECTA) for refund and disclosure policies.
South African e-commerce retailers face a distinct operational challenge: balancing high-performance local hosting with the professional communication tools required to manage a ZAR-based business. By pairing Xneelo’s robust local server infrastructure with Google Workspace, you ensure your storefront remains fast for local shoppers while centralizing your administrative operations. Xneelo provides the reliable hosting environment necessary to meet ECTA and CPA disclosure requirements, while Google Workspace handles the professional email routing, document collaboration, and data storage essential for managing customer inquiries and SARS-compliant record-keeping. This setup allows your team to move away from fragmented communication, ensuring that order confirmations, refund requests, and POPIA-compliant customer data are managed within a secure, professional ecosystem. By offloading your email hosting to Google while keeping your storefront on Xneelo’s local servers, you reduce latency for your customers and streamline your internal productivity workflows.

How to add Xneelo to Google Workspace
- 1
1. Log in to your Xneelo Control Panel and navigate to the "DNS Zones" section to prepare your domain for external email routing. You will need to delete any existing MX records pointing to Xneelo’s mail servers to prevent delivery conflicts once you switch to Google Workspace.
- 2
Sign up for a Google Workspace business account using your existing domain name. During the verification process, Google will provide a TXT record; copy this string and add it as a new TXT record within your Xneelo DNS management console to prove domain ownership.
- 3
Once ownership is verified, return to the Xneelo DNS management page to update your MX records to the specific values provided by Google. These records ensure that all incoming customer emails are routed directly to your Gmail inbox rather than your Xneelo server mailbox.
- 4
Add the Google SPF (Sender Policy Framework) record to your Xneelo DNS settings to authorize Google’s servers to send emails on behalf of your domain. This is a critical step to prevent your transactional emails, such as order confirmations and refund notifications, from being flagged as spam by local South African ISPs.
- 5
Configure your Google Workspace Admin console to create professional aliases for your store, such as support@yourstore.co.za or accounts@yourstore.co.za. This ensures that all customer communication remains centralized and searchable within the Google ecosystem, separate from your Xneelo-hosted website files.
- 6
To ensure compliance with POPIA and ECTA, set up Google Vault within your Workspace account to archive all customer-facing correspondence. This provides a secure, immutable audit trail of your interactions, which is essential for resolving disputes regarding refund policies or consumer rights.
- 7
Use a dedicated integration tool like Zapier or Make to connect your Xneelo-hosted website’s contact forms to Google Sheets. Configure the trigger to capture form submissions and map the data fields—such as customer name, order number, and query type—directly into a spreadsheet for tracking.
- 8
Finally, test your email flow by sending a test message from an external account to your domain-based email address. Verify that the email arrives in your Gmail inbox and that your website’s "Contact Us" form successfully logs data into your Google Sheet to confirm the full integration is operational.
