Global Tool

Kit (ConvertKit)

Email marketing platform built for creators, course sellers, and digital product businesses.

Why this matters in South Africa

South African estate agents manage listings, buyer pipelines, bond applications, and tenant communications across four or five separate platforms. A single property sale can involve 60+ touchpoints between agent, buyer, seller, bank, attorney, and municipality — most of them manual.

Compliance note: Estate agents must hold a valid Fidelity Fund Certificate (FFC) issued by the PPRA. Rental agreements must comply with the Rental Housing Act. Bond origination is governed by the National Credit Act. All client funds must be held in a trust account.

South African estate agents currently juggle fragmented workflows, manually tracking bond applications, FFC-compliant trust deposits, and tenant communications across disconnected platforms. When a buyer pays a deposit or a tenant settles rent via PayFast, the lack of automated synchronization forces agents to manually update CRM records and email sequences, risking compliance gaps under POPIA and the Rental Housing Act. By connecting PayFast to Kit, you automate the transition from a ZAR transaction to a personalized communication flow. This integration triggers immediate, compliant email sequences—such as automated bond application checklists or rental onboarding documents—the moment funds hit your account. By eliminating the manual data entry between your payment gateway and your marketing stack, you reduce the 60+ touchpoints inherent in a property sale, ensuring that every client interaction is timely, professional, and audit-ready for the PPRA.

How to add PayFast to Kit (ConvertKit)

  1. 1

    1. Create a dedicated Zapier or Make account to serve as the middleware bridge, as neither PayFast nor Kit natively exchange data without an intermediary. Ensure this account is secured with multi-factor authentication to maintain the integrity of sensitive client financial data.

  2. 2

Log into your PayFast dashboard and navigate to the 'Integration' tab to locate your Merchant ID and Merchant Key. You will need these credentials to authorize the middleware to listen for successful ZAR transaction events in your trust or business account.

  3. 3

In your middleware platform, create a new 'Trigger' using the PayFast app and select the 'New Payment' event. This ensures that the workflow only initiates once a payment has been successfully cleared and verified by the PayFast gateway.

  4. 4

Configure a filter within the middleware to isolate specific payment types, such as 'Rental Deposit' or 'Bond Initiation Fee', using the 'item_name' field from the PayFast payload. This prevents administrative fees or test transactions from triggering your client-facing email sequences.

  5. 5

Log into your Kit account and navigate to 'Subscribers' to create a new 'Tag' specifically for the property transaction type, such as 'New Rental Tenant' or 'Bond Application Pending'. This tagging system allows you to segment your database for targeted communication while maintaining POPIA-compliant data separation.

  6. 6

Set the 'Action' in your middleware to 'Add Subscriber' in Kit, mapping the customer’s email address and name from the PayFast transaction data. Ensure you include a custom field for the 'Property Reference Number' to keep your records aligned with your PPRA-mandated filing system.

  7. 7

Within Kit, create a 'Visual Automation' that triggers immediately when a subscriber is added with your new tag. This automation should send the relevant documentation, such as the Rental Housing Act disclosure or a bond application checklist, directly to the client.

  8. 8

Perform a test transaction in PayFast using the 'Sandbox' mode to verify that the data flows correctly from the gateway to Kit without exposing live client information. Once verified, review your Kit subscriber logs to confirm that the contact was added with the correct tag and that the automated email sequence initiated as expected.
