Why this matters in South Africa

South African non-profits manage grant reporting, donor communication, programme delivery, and compliance reporting to the DSD simultaneously — often with a small team and limited systems budget. The average NPO spends 30% of admin time on manual grant reporting that could be automated.

Compliance note: NPOs must be registered with the Department of Social Development. PBO status for tax exemption requires SARS registration under Section 18A. Organisations receiving foreign funding must comply with the NPO Act and applicable SARB exchange control regulations.

South African NPOs often lose 30% of their operational capacity to manual grant reporting and fragmented donor communication. By migrating your email infrastructure from HOSTAFRICA’s local mail servers to Google Workspace, you centralise donor data and programme documentation within a secure, POPIA-compliant ecosystem. This transition involves pointing your HOSTAFRICA-managed domain’s MX records to Google’s servers, effectively offloading email storage and security to a global cloud environment while maintaining your local web presence. This shift allows your team to automate grant reporting workflows using Google Sheets and Drive, ensuring that sensitive beneficiary data remains accessible yet protected. By streamlining these technical back-ends, your organisation reduces the administrative burden of DSD and SARS compliance reporting, allowing your limited staff to focus on programme delivery rather than managing local server bottlenecks or manual data reconciliation across disparate platforms.

How to add HOSTAFRICA to Google Workspace

  1. 1

    1. Log in to your Google Workspace for Nonprofits account and initiate the domain verification process by selecting "Other" as your domain host to generate a unique TXT verification record.

  2. 2

Access your HOSTAFRICA Client Area, navigate to the "Domains" section, and select "Manage DNS" for the domain associated with your NPO’s website.

  3. 3

Add the Google-provided TXT record to your DNS zone file, ensuring the "Host" field is set to "@" or left blank, and save the changes to prove domain ownership to Google.

  4. 4

Delete any existing MX records within the HOSTAFRICA DNS management panel to prevent mail routing conflicts, as Google Workspace will now serve as your exclusive mail server.

  5. 5

Create a new MX record in the HOSTAFRICA panel with a priority of 1 and a destination of "ASPMX.L.GOOGLE.COM," followed by the four secondary Google MX records provided in your setup console.

  6. 6

Configure the SPF (Sender Policy Framework) record as a TXT record in your HOSTAFRICA DNS settings using "v=spf1 include:_spf.google.com ~all" to ensure your donor emails are not flagged as spam by South African financial institutions.

  7. 7

Verify the DNS propagation in the Google Admin console, which may take up to 48 hours, to confirm that your domain is correctly routing traffic to Google’s servers for Gmail and Drive services.

  8. 8

Once active, transition your NPO’s financial documentation and grant reports to Google Drive, ensuring that folder permissions are restricted to authorised staff to maintain strict POPIA compliance regarding beneficiary data.
